Commissioners noted plans for returning
to the Summer Shows for the first time since the pandemic in a face-to-face
capacity.
This attendance would form one strand
of a wider package of engagement activity as identified in the agreed
Communication and Engagement Strategy.
Commissioners noted plans for a stronger digital element to complement in-person presence and asked about other types of activities and major events which attract high attendance numbers and could be a route engagement with different audiences.

Digital Taskforce Follow Up

The Commission considered developments in relation to a recommendation made by the Digital News and Information Taskforce report to set-up an independent, arms-length newswire service. Commissioners discussed recent developments in the media sphere in Wales and agreed that at this time Commission Officials should continue to offer to support these emerging news services before resuming consideration as to whether any financial aid would be necessary.

Gwilym gave an overview of current grid that captured corporate and
business related communications activity to facilitate planning. Brexit had
dominated the week, with a press release from the Assembly of the EAAL report
launch receiving many hits. A lot of work had gone into releases put out,
including on suffrage, the Alun and Deeside by-election, the Mandate Motion on
electoral reform and ELGC report on maternity discrimination.
Monday 12
February would see the launch of the consultation on electoral reform, with a
series of meetings and a microsite with videos and social media prepared. Non
noted the achievement of the Communications teams in responding to the Digital
report in how this work had been undertaken.
ACTIONS:

add the Capacity Review communication timeline and LGBT Month
to the media grid;

activity to facilitate planning. The
Assembly had been very busy during
the past week,
which had included numerous visits, a Facebook Live Event with over 2000 individual
views and a number of comments and questions, and the launch of the Lobbying
Report. While the following week was less demanding,
there were a number of consultation launches and Committee Reports coming in
the next few weeks.

The
following week would see the launch of the Expert Panel’s report, for which
there was a lot of interest, and 2018 would be very busy, with the Commission
consulting on the report.
Forward
planning was very important, especially looking for any pinch points from
January through to mid February. The Board flagged three current matters to include in the
grid.

Gwilym gave an overview of current grid that captured corporate and business related communications
activity to facilitate planning. A lot of planned activity had been cancelled
this week, including Senedd@Delyn, which would be moved to the new year and the
launch of the Expert Panel’s report, to be rescheduled before the end of term.
Assembly
business would commence tomorrow with a lot of media interest expected. The
Commission’s budget would be debated on Wednesday. There
were twelve committee reports due to be published before the end of term and
the integrated teams were considering arrangements.
There
would be very close scrutiny this week and Non asked Heads to check if anything
was missing from the grid.

highlighted potential newsworthy items to the Communications team as early as
possible.

Minutes:
1.1 Non Gwilym presented the
grid to the Board, explaining that it was intended to provide a forward look of
the Communication team’s commitments, including potential pressure points, up
until the end of 2017. Non indicated that the grid would rely on regular
updates from service areas to remain a useful tool and the Board agreed to give
further consideration as to the most appropriate way to ensure easier sharing
of the document for the purposes of planning.
1.2 The Board recognised that
the Assembly received positive coverage of its events over the summer and that
this grid would help to ensure future opportunities were not missed by
providing a strategic level overview of activities.
